Booking terms & conditions
These booking conditions together with the other information contained on www.golfretreats.com (the “Site”) form the basis of your contract with Golfretreats.com (registered as 44 GOLF LIMITED). Please read them carefully as they set out our respective rights and obligations.
We do not sell or offer for sale any “Holiday Travel Packages” or act as an “organiser” within the meaning of The Package Travel, Package Holidays and Package Tours Regulations 1992.
- INTRODUCTION
1.1 Booking of Travel Suppliers products through the “Site” is subject to these terms and conditions (the “Terms and Conditions / T&C’s”). It is your responsibility to ensure that you have read, understood and agreed to the T&C’s prior to booking.
1.2 In these conditions a reference to:
- “you”, “your” means the person making the booking and everyone else named on the booking (including anyone added or substituted at any time);
- the “Lead Name” means the person identified on the booking confirmation as the “lead name” and to whom the invoice for the product will be addressed;
- “Accommodation” means the hotel room(s), or other form of accommodation and related services or products that you have booked or wish to book through the site;
- “Hotel” means, as the context requires, the hotel in which a particular hotel room is situated;
- “Accommodation Provider” means the owner and/or provider of the Accommodation;
- “Venue” means the location of the retreat and the golf course; which could be at the accommodation provider or at another location external to the accommodation provider but in & around the area of the accommodation provider
- “We”, “us”, “our” mean 44 Golf Limited. a company registered in England with registration number 15813018 and registered at Old School House, Oakham Lane, Staverton NN116JQ.
1.3 Please read the Terms and Conditions carefully. They apply to all bookings made on GOLFRETREATS.COM and to all members of your party.
- CONTRACT FOR A RETREAT
2.1 Your contract for a golf retreat is with 44 GOLF LIMITED as noted in 1.2g above.
We accept no liability in relation to any other arrangements that you book on/around the golf retreat or for the acts or omissions of the Accommodation Provider or other person(s) or party (ies) connected with such arrangements.
2.2 It is important to check carefully all the details of your retreat booking (date, times, names etc). It is your full responsibility to ensure the details you have provided at the time of booking and ahead of the retreat are accurate. Should we be charged any costs for an error made on your behalf at the time of booking, these costs will be passed on to you.
2.3 If you want to cancel or change your booking at a later date, you may have to pay amendment or cancellation charges (as set out below in section 5).
2.4 In parties of two or more people, the person who makes the booking, entering their name as the “Lead Passenger/Guest”, accepts full responsibility for making all payments to us for all members of the party. We will send all vouchers and other information to the “Lead Passenger/Guest”, who is responsible for ensuring that the other members of the party are kept fully informed.
- WEBSITE ACCURACY
3.1 We take all steps practically possible to ensure that the details given to you on our website (www.golfretreats.com) are accurate and up to date but we do also rely upon the descriptions given to us by the suppliers of the services and facilities described.
3.2 Sometimes the facilities described will be withdrawn for reasons such as course maintenance, bad weather or lack of demand from guests. Where our suppliers advise us about any significant changes to descriptions or about the withdrawal of any significant facility, we will tell you as soon as possible.
3.3 Some activities or facilities may not be available all year round.
3.4 There may be a charge for some facilities, for example, buggies, club hire, safety deposit boxes, ironing services, and air-conditioning.
3.5 In some places during high season (and even at other times) there is a possibility you will be disturbed by noise from less considerate groups. All hotel accommodation providers reserve the right to collect a refundable breakage deposit on arrival.
3.6 Where a running order/programme of activities of a golf retreat is advertised on our website, this can be subject to change (please see section 7).
3.7 Where names of golf coaches and/or subject matter experts are advertised on our website, these can be subject to change (please see section 7).
- PAYMENT & CONFIRMATION FOR YOUR GOLF RETREAT
4.1 All prices are set in the GBP currency, prices displayed in any other currency (including EUR) are INDICATIVE ONLY.
4.2 Any price presented on the website when selecting any currency other than GBP is based on an indicative exchange rate.
4.3 Upon checkout when making the booking, depending on your payment method and card supplier, you may be given the option to pay in another currency (including GBP Sterling). If you choose to pay in any other currency the final price charged to your account will depend on both the rate of any commissions applied by the card payment provider together with the effect of any differential in the exchange rate applied by your own bank/card provider compared to our indicative rates (at the time of your bank processing the transaction). Your invoice will show the confirmed GBP rate and payments paid in GBP.
4.4 Payment Options
4.4.1 There are two types of payment options available:
- Deposit – 25% of the total value of the booking paid at the time of making the reservation. Please note the deposit rate is only available 13 weeks plus before the retreat; bookings inside 13 weeks must be paid in full.
- Non-Refundable Rate – this is our discounted, best rate guaranteed where full payment is required at the time of booking
4.5 Payment Dates (Deposit Rate):
- At the time of booking, you paid a non-refundable deposit of 25%
- The remaining balance of your reservation must be paid 13 weeks before your retreat check-in
- If you booked within 13 weeks of your retreat check in date or using our non-refundable discounted rate, then the full payment will be required at time of booking.
PLEASE NOTE: THE DEPOSIT PAID AGAINST YOUR BOOKING IS NON-REFUNDABLE.
4.6 By agreeing to the Deposit Rate at the time of booking, you agree to paying the price shown on the checkout page which is taken after you finish your reservation and the remaining balance which can be paid at any time up until 13weeks prior to check-in date at the retreat.
4.7 By agreeing to the Non-Refundable Rate at the time of booking, you agree to paying the full price shown on the checkout page which is taken after you finish your reservation, which is a fully non-refundable rate.
4.8 If we have not received full payment (balance owed) for your booking 48 hours after the balance due date for your booking (when using the deposit rate), bookings will automatically be cancelled and your deposit paid will be lost.
4.9 Any cancelled bookings as noted in 4.8 may be reinstated, however will be subject to availability and prices may be adjusted according to the rates on the day.
4.10 By paying a deposit or the full amount at the time of booking, you are entering a contract and accepting these booking payment conditions.
4.11 Payments may be made by any major credit or debit card. We use sophisticated encryption technology to ensure your credit card details are secure. We do not accept laser cards or cash cards.
4.12 If a booking is made within 72 hours of the retreat check-in date (known as a late booking), it is compulsory that the payment card used to confirm the booking is presented to the golfretreats.com team upon check-in. Failure to present this card may mean the reservation is rejected unless a cash payment is made upon check-in.
4.13 Your payment will be fully invoiced by 44 GOLF LIMITED. a company registered in England, and trading as ‘golfreteats.com’.
4.14 Payment for any incidental extras during your retreat, such as mini bar, room service etc. must be made directly to the Accommodation Provider when you check out.
4.15 Once your payment has been received and processed we will send you a CONFIRMATION INVOICE to the email address you provided during the booking process.
4.16 It is your responsibility to fully check all details of your booking and should there be any errors, please contact our Customer team.
4.17.1 If you have any special request, you must advise us at the time of booking. Although we will endeavour to pass any reasonable requests on to the relevant supplier, we regret we cannot guarantee any request will be met.
4.17.2 If you have any medical condition or disability or suffer from reduced mobility which may affect your arrangements or any special requirements as a result of any medical condition, disability or reduced mobility (including any which affect the booking process), please tell us before you confirm your booking so that we can assist you in considering the suitability of the arrangements and/or making the booking. In any event, you must give us full details in writing at the time of booking and whenever any change in the condition or disability or your mobility occurs. You must also promptly advise us if any medical condition or disability which may affect your travel arrangements develops after your booking has been confirmed.
- YOUR AMENDMENTS OR CANCELLATIONS
5.1 AMENDMENTS
5.1.1 If you want to change any aspect of your booking after we have sent your confirmation, the following amendments can be made any time up to 48 hours before your golf retreat (where possible we will not charge for any amendments):
- Name changes
- If you have booked more than 1 room, changes in the configuration of who is staying in each room
5.1.2 All AMENDMENT requests must be made through our ‘Customer Caddy Team’ who you can email on info@golfretreats.com. Please quote the Booking Reference & Lead Guest Name in all correspondence.
5.1.3 If you amend your stay less than 48 hours before your golf retreat check in date, will be subject to costs that the accommodation provider enforces.
5.1.4 If you wish to make any changes to your booking whilst at the golf retreat (e.g. upgrading accommodation or extending your stay), all requests are subject to availability and any extra cost must be paid immediately direct to the Hotel Reception.
5.1.5 If you want to amend your retreat booking to new dates this will be subject to availability and will be subject to you being charged the price difference for the new dates. This is including dates in the year after your current booking.
Please note only one date change to a different retreat is permissible. After that, if you can not attend the retreat on your amended dates then the booking will be cancelled and at a loss of deposit/full payment.
5.2 CANCELLATIONS
5.2.1 Should you wish to cancel your booking completely, and you booked using our deposit rate the following cancellation charges will apply:
- If you cancel your stay more than 13 weeks before your Check In Date = loss of FULL deposit amount.
- If you cancel your stay less than 13 weeks before Check In Date = loss of 100% of total booking amount
5.2.2 Should you wish to cancel your booking completely, and you booked using our non-refundable discounted rate then this will be the loss of 100% of the total booking amount.
5.2.3 If you booked using our discounted non-refundable rate, there are no refunds available should you wish to cancel. You can amend your booking as per the amendment section above.
5.2.4 CANCELLATIONS or PART CANCELLATIONS must be received in writing via email to info@golfretreats.com. Please quote the Booking Reference & Lead Name in all correspondence. Emails to this email address will be responded to within 3 working days.
5.2.4 From the point in which a refund is agreed, the refund will be processed within 30 days.
5.2.5 You will not be entitled to any form of refund should you not complete the retreat for any reason.
- GOLF RETREAT CANCELLATIONS OR AMENDMENTS
6.1 You should always check that a golf retreat is going ahead at the scheduled date, time and venue.
6.2 If a golf retreat is rescheduled due to circumstances beyond our control, we will give you the option of either moving your booking to an alternative date or claiming a full refund or part-refund (if only deposit has been paid).
6.3 If an Event is fully cancelled due to circumstances beyond our control, you will be offered a refund or option to move to another golf retreat date.
6.4 Minimum Numbers. For some of our golf retreats we require a minimum number of bookings in order for the retreat to be able to take place. In the event of us having to cancel due to insufficient numbers we shall provide you with a full refund (including any deposit paid) of the booking.
6.5 Occasionally we may have to make a significant change to your golf retreat accommodation / location. If we have to make a significant change to your golf retreat, we will tell you as soon as possible and if there is time to do so before departure, we will offer you the choice of:
- (for significant changes) accepting the changes to the golf retreat; or
- having a refund of all monies paid; or
- accepting an offer of alternative accommodation/venue of comparable or higher standard if available (at no extra cost); or
- if available, accepting an offer of alternative accommodation/venue of a lower standard (defined as star rating), with a refund of the price difference between the original accommodation/venue and the alternative provided.
You must notify us of your choice within 7 days of our offer. If we do not hear from you within 7 days, we will contact you again to request notification of your choice. If you fail to respond again we will assume that you have chosen to accept the change or alternative travel arrangements.
6.6 Any refund or part-refund agreed will be;
- Paid to the same payment method used when booking your golf retreat.
- Paid within 30 days of the date a refund was agreed between the parties
- Please note any Booking and/or Transaction Fees are non refundable in any circumstances.
6.7 If we do not hear back from you within 30 days of the retreat being cancelled we will automatically transfer your golf retreat booking/payment to a Flexible Voucher.

- ON ARRIVAL AT YOUR RETREAT / ACCOMMODATION
7.1 RETREAT CHECK IN – A member of the golfretreats.com team will meet you at the welcome venue as per the details of the retreat schedule that you will have received 14 days prior.
7.2 HOTEL CHECK IN TIMES vary depending on the accommodation provider but will be detailed on your retreat schedule. During busy times sometimes your room may take longer so please be patient if this is the case. The reception is open 24 hours a day.
7.3 SPECIAL REQUESTS – If you have any special requests that do not form part of the standard services for the Accommodation, please let us know in writing at the time of booking. We will pass on all such requests to the Accommodation Provider, but unfortunately cannot guarantee that they will be met. Further, if the Accommodation Provider is unable to meet such requests, neither we nor they can have any liability to you in this respect. The email address for requests is info@golfretreats.com
7.4 PERSONAL BELONGINGS – For peace of mind personal belongings and items of value should be kept in the in room safety deposit box. These Safety deposit boxes are code generated. We and the accommodation provider accept no liability whatsoever for any accident, loss or damage to your property unless such loss is demonstrably due to negligence on the part of the accommodation provider.
7.5 LOST PROPERTY – we or the accommodation provider accept no responsibility for any property left / lost at the hotel. We will not be able to return any items left at the hotel once you have departed the resort, you will need to organise the return via our customer caddy team – info@golfretreats.com
7.6 HOUSEKEEPING – The accommodation provider will provide a housekeeping service as per their own standard T&C’s. If the housekeeping team is unable to access your room during the day due to your occupation, please advise reception and housekeeping will visit your room as soon as possible. PLEASE NOTE: the hotel cleaners are not allowed to move your belongings and will only clean your room if they are able to access the surfaces, therefore if you wish your room to be cleaned please leave all areas tidy.
7.7 BREAKAGES / ROOM DAMAGE – You will be held responsible to pay for breakages or damage to your room. When checking into your room, if you notice anything broken or missing then please report this to the Reception Team within 24 hours and we will replace or repair it wherever possible. Please note it is important that you do report this information to reception as you may be charged.
7.8 HOTEL CHECK OUT TIME – You will need to check out of your room at the time stated by the Hotel Provider. Please ensure that you ensure you have checked out before joining the golf retreat sessions for your final day.
7.9 ROOM EXTRAS – It is your responsibility to ensure your room bill is settled upon check out. We accept no responsibility for any unpaid bills.

- RETREAT SCHEDULE / PROGRAMME / CHANGES
8.1 You will be sent a detailed programme schedule/running order for your golf retreat no less than 14 days before you check in for your golf retreat.
8.2 All timings noted on the programme schedule are subject to change at our complete discretion and we will advise you of any changes upon your arrival and/or through the golf retreat.
8.3 Please fully familiarise yourself with the programme and schedule, so as not to miss any of the sessions.
8.3 We reserve the right to replace, with a suitable alternative, the advertised golf coach and/or our subject matter expert(s) for any valid reason.
8.4 Where a replacement golf coach and/or subject matter expert has been made, we will advise you accordingly and in as timely manner as possible.
8.5 You will not be entitled to any form of compensation or refund for any changes that we make to the gold retreat schedule where it is deemed the changes made are of a similar, if not better standard.
8.6 You will not be entitled to any form of compensation or refund should you not attend any of the scheduled golf retreat sessions.
8.7 Where we are unable to provide a session as part of the advertised programme, for whatever reason, we will endeavour to replace that session with a proportionate alternative later in the retreat. Where this is not possible, you will not be entitled to any further compensation or refund.
9. YOUR CONDUCT
9.1 It is important that you behave responsibly and with consideration for others during your golf retreat. Accordingly, to the extent that we, or one of our suppliers, believe that your actions could or have caused disruption or annoyance, or a risk of safety, or damage to property, to us, our suppliers or other customers then we may cancel your booking without further liability to you. In these circumstances, the provisions of the paragraphs entitled “If we cancel the booking” in each relevant section above shall not apply.
9.2 Furthermore, we shall be under no obligation whatsoever to pay compensation or meet any costs or expenses (including but not limited to alternative booking arrangements) you may occur as a result of your booking/stay being terminated.
9.3 In the event that your conduct causes loss or damage to any person or property for which we are liable, you agree to compensate us for such loss and damage, together with any legal costs which we may incur in pursuing this claim against you.
9.4 Dress code – many golf courses require proper golf attire such as collared shirts, shorts of a certain length, no denim etc. We cannot accept any responsibility in any ruling by the hotel/golf course if you or any of your group is unable to play due to inappropriate attire. Please check before you join your golf retreat that your full group is aware of appropriate golfing attire.

- DISRUPTED EXPERIENCES – COURSE CONDITION / INCLEMENT WEATHER
10.1 The condition of golf courses varies throughout the year. General golf course maintenance on tee boxes, fairways and greens are an essential feature of golf course preparation. We cannot be held responsible for the impact of such work.
10.2 Bad weather is unavoidable during the course of the year and as a result golf courses may either close or the golf course will operate temporary tees and greens at their sole discretion. Golf courses reserve the right to close or operate temporary tee boxes / greens. In the event of bad weather our ‘Bad Weather Policy’ is as follows:
10.3 Golf played on temporary greens and/or tees is non-refundable and is considered to be an accepted part of playing golf during periods of bad weather. Please note that trolley and buggy bans occur frequently when a course is wet and are determined by those in charge of the golf course. We cannot be held responsible for these occurrences.
10.4 Tee-times – golf courses reserve the right to alter confirmed tee times.

- TRAVEL INSURANCE
11.1 It is a strict requirement for you to have adequate and comprehensive Holiday/Travel Insurance for your golf retreat.
11.3 We also recommend that you review your insurance policy prior to procuring to ensure that it offers cover against any disruption to your booking due to Covid-19. Though not compulsory for your retreat, we would further advise that you hold personal golf insurance.

- MEDIA & RECORDINGS AT GOLF RETREATS
12.1. Each person attending the golf retreat:
- acknowledges that he/she is likely to be recorded and the resulting content publicly disseminated across a range of media;
- agrees that perpetual use may be made, free of charge, of his/her voice, image and likeness captured whilst present at or about the golf retreat (by means of live or recorded video display, broadcast, transmission or other dissemination or recording, photographs or any other current and/or future media technologies) and waives, on an irrevocable, worldwide, perpetual basis, all rights to object to such recording and the broadcasting, transmission or other dissemination thereof in any current and/or future media technologies;
- acknowledges and agrees that we (44 Golf Limited trading as ‘golfretreats.com’) are the sole legal and beneficial owner of the copyright and any other intellectual property rights of any nature whatsoever in and to any recordings of sound or images taken at the golf retreat (including future rights to such recordings or to any works derived from such recordings) and waives, on an irrevocable, worldwide and perpetual basis, all rights (including moral rights) in and to any such recordings. 13. COMPLAINTS PROCEDURE
13.1 If you have a complaint whilst you are staying at one the golf retreats, you must inform the golfretreats.com team immediately in order to give them the chance to resolve the problem. A report form MUST be completed with a member of the golfretreats.com team whilst you are on your golf retreat. Any right to compensation will be lost if you fail to do this. If you are not offered a report form please ask to speak with the Lead tour guide or the wider golfretreats.com team.
13.2 If the issue is not resolved to your satisfaction, you should contact the Lead tour guide or the wider golfretreats.com team. We will act as an intermediary to try and rectify the problem. In the event that we are unable to do so and you wish to take matters further, you must do so directly with the Accommodation Provider concerned.
14. GENERAL INFORMATION
14.1 Maintenance, changes and improvements take place all year round. No compensation will be offered if a facility is unavailable, but the Accommodation Provider will endeavour to provide a suitable alternative. During the quiet months only one restaurant or bar may be open.
14.2 We cannot be held responsible for the failure of public services (e.g. water, gas, electricity etc.) or for any disturbance that is beyond our control. In all cases including personal injury or death, our liability to you for the total of all claims arising out of your holiday with us, is limited to the cost of the booking.
14.3 All prices are correct at the time of publication, but may change without notice, with the exception of confirmed bookings. Confirmed bookings will not alter.
14.5 The Hotel provider reserves the right to refuse any booking.
14.6 We cannot be liable in any way for the acts or omissions of others.
14.7 The purchase by you of a golf retreat and these terms and conditions (and any contractual or non-contractual matters arising in relation to these terms and conditions) are governed by English law and any disputes arising out of any transaction between you and 44 GOLF LIMITED are subject to the exclusive jurisdiction of the English Courts.
15. FORCE MAJEURE
Except where otherwise expressly stated in these Booking Conditions we will not be liable or pay you compensation if our contractual obligations to you are affected by “Force Majeure”. For the purposes of these Booking Conditions, Force Majeure means any event beyond our or our Supplier’s control, the consequences of which could not have been avoided even if all reasonable measures had been taken. Examples include warfare and acts of terrorism (and threat thereof), civil strife, significant risks to human health such as the outbreak of serious disease at the travel destination or natural disasters such as floods, earthquakes or weather conditions which make it impossible to travel safely to the travel destination or remain at the travel destination, the act of any government or other national or local authority including port or river authorities, industrial dispute, labour strikes, lock closure, natural or nuclear disaster, fire, chemical or biological disaster, unavoidable technical problems with transport, air traffic control strikes, flight cancellations and all similar events outside our or the Principal Supplier concerned control.
